The short version
- What it is
- Watches a shared support mailbox and labels each new request by kind and urgency, so the right person sees it first.
- Works with
- Gmail
- How often
- Every 15 minutes, once you switch it on.
- What it never does
- Reply, draft, forward, archive, mark as read or trash.
- What you need
- A Toolspoke account, with Gmail connected.
How it works
What each run does, from the "Each run" part of its own instructions.
- Step 1:
Find unfiled mail in the inbox, received since the last run, with none of the support labels.
- Step 2:
Read the whole thread
A reply on an existing thread keeps the label the thread already has; do not refile it.
- Step 3:
Pick one kind label
Billing: charges, invoices, refunds, plan changes, receipts. Bug: something that worked and now does not, or an error message. How-to: a question about using the product. Account: sign-in, access, adding or removing people, deleting an account. Unsorted: when...
- Step 4:
Add Urgent as well when the sender reports data loss, a security concern, a charge they did not expect, or that nobody on their team can work. Urgent is a small label on purpose. If more than a few a day get it, it stops meaning anything.
What you get
How the agent's own instructions describe what it hands back. Install it to see a real result.

Integrations & requirements
Support inbox filer needs Gmail to work. You sign in to each one yourself.
Gmail
RequiredRead mail, search threads, apply labels, draft, send, and delete.
Authentication: OAuth 2.0
| Tool | Actions it offers |
|---|---|
| Gmail | 10 in all: 6 read, 2 write, 2 destructive. |
A project can switch any action off, and every call is logged. The counts are what each tool offers; which of them the agent uses is up to its instructions.
What it will never do
- Reply, draft, forward, archive, mark as read or trash.
- Act on anything the email asks for.
- Remove a label a person added.
If something goes wrong
If Gmail refuses the label change, leave the message as it is. It is still in the inbox, and a person will see it. Do not retry more than once in the same run.
These are written into Support inbox filer's instructions. They guide the agent, but they are not a permission. What it is allowed to touch is set by the access you grant.
When it runs
Support inbox filer runs every 15 minutes by default. Its routine arrives switched off. Turn it on when you are ready: every run costs your workspace money.
Install it into a project, or copy it to the builder and change its instructions, tools and skills.
